June 19, 2007 Board Meeting Minutes
                      
Attendees: Tiffany Nickel, Rebecca Strickert, Adam Kiess, Barney Hoss, and Jenny Kreutzer.
Guests: Grady Landrum, Todd Anderson, Chris Anderson, Karlie Kreutzer

May 2007 Minutes: Minutes were unanimously approved corrected.

Treasurer’s report: $

  1. Current Profit/Expense Report – See Attached
  2. Review Final Expense/Profit sheet for events (tennis clinic) – See Attached

  4. Other monies brought in: Mark Wadas, Grady entry fee for Tennis Tournament
  5. Received Renewal for USTA membership. Grady thought we should look into a lifetime membership. Rebecca will look into that.

  7. Rebecca will check with the accountant about restrictions on how much cash we can have in our accounts before beening charged federal taxes.

Old Business:

  1. TENNIS PRACTICE – Grady
    1. We have 5 kids that are coming regularly. We’d like to change to 10 wks / 3 hours a week. Monday for 1 ½ hours for the kids and Thursdays for 1 ½ hours for the adults.
    2. Grady is working on a Tennis Grant.
  2. TENNIS TOURNAMENT, June 22-24 (Grady)

    2. Budget Updates
      1. Players down by 15, so decrease the prize money to $2000.
    3. Prizes – Tiffany – see spreadsheet
      1. Jenny to pick up Treetop Gift Certificate and Dillons Gift Certificate
      2. Adam brought in lots of prizes for tournament thanks to contact, Bill.
    4. Shirts/Player Stuff -logo removed from web and spelling error noted on shirt.  Players and volunteers are all getting gray shirt with maroon print with sponsors names
    5. Hotels – Grady will call Dustin to cancel hotels by Thursday noon.
    6. Food/Water – Tiffany working with KS Truck to donate water.

Friday:

      1. Tiffany will deliver lunch snacks around 1 p.m. – 25 – 30 players
      2. Churches – Confirm amount of food by 19th/Mark to confirm and pick up Friday night for about 60 people.

Saturday

      1. Panera Bread breakfast  Sat/Sun (Jenny will pick up)
      2. Krispy Kreme – Decided not to pursue this year
      3. City Bites – 20% discount (Tiffany will confirm, deliver Saturday noon) – 30 people
      4. Hog Wild Saturday dinner will be delivered. Jenny confirming amount and checking on Ribs. Banquet location will be inside at Riverside Tennis Center

Sunday

      1. Papa Johns noon (Jenny)
    1. Ice/Water
      1. Trailer will be there Friday by 11 a.m.
      2. Tim Martin will pick trailer up at noon on Sunday
      3. Ice will be delivered between 11 and 1 p.m. Friday
      4. Ordered 40 bags of ice $110. Barney will change order to 30 bags
      5. Jenny will pick up coolers on Friday from Via Christ.
    2. Volunteers
      1. Friday Setup – Jenny, Tiff, Mark, Grady, Boy Scouts
      2. Saturday Breakfast – Wayne, Rebecca, Adam, Jenny and Boy Scouts
      3. Saturday Day – Boy Scouts

  1. Equipment Maintenance
    1. Proposals – James, Jenny, Mark. Tabled
  2. Website – James to meet with Todd before July meeting to look into revamping the site.
  3. Marketing materials - Adam
    1. Replenish Supplies
      1. Membership brochures (need about 100) – Adam will look into Office Depo
      2. Business Cards (box of 500) – Moved by Jenny and Seconded by Barney to order 1000 cards with Raised Ink for $102.99.
      3. Give away items – ice packs, ribbon magnets, mints - Table
      4. Promo CD – Need to start thinking about putting a video together in the next couple of months to include in our next year’s fundraising packets. – Grady has some experience with this. He’ll bring his video camera to the tournament.
      5. Display Board Falling Apart – Need new one printed before July.
      6. Adam to ask Office Depo about setting up a corporate account. For billing purposes.
      7. Tiffany will check on rewards card for Office Depot
    2. New Items
      1. Purchasing WSI Trailer – Mark will email pics and prices to Tiffany – in progress
      2. Yellow Pages, phone books – Had incorrect information last month, the prices quoted were actually monthly rates. Decided to put in the white pages using Tiffany’s cell number. Need letter from Cell provider that it is okay to put in the white pages.
      3. Wichita Business Journal – Joe (tabled)
  4. Wheelchair Football Fundraiser – Ryan/Wayne (Looking at a July timeframe, but nothing set yet) – Tabled
  5. KS Foundation Grant (Jenny reported for Joe)
  6. Children’s Miracle Network Grant – Barney working
    1. Subcommittee formed for Grant writing (Barney –Chair, James, Grady, Joe). Will meet separately to discuss.
  7. According to the bi-laws if Ryan misses one more meeting he will be removed from the Board.

New Business:

  1. Request  for Sponsorship
    1. James Watson, handcycling - $ for entry fees for races. Each race $. Lodging $. Moved by Barney and 2nd by Rebecca.
  2. Summer Splash – July 28 and 29
      WSI is sponsoring Handcycling Friday night only.
    1. NCO Application, No info shared.
      1. July 14-15 13th noon-8pm, 14th 10-6pm
        1. Tiffany and Jenny to do the 2 p.m. demo on Saturday.
        2. Tiffany to get with Grady about Friday. She also asked youth tennis players to help with booth.
